How to Set Up a Virtual Assistant (VA) in EaSync

How to give a Virtual Assistant access to your EaSync account, what they can and can't do, and how to fix invite/login issues.

This guide covers how to give another person — a Virtual Assistant (VA) — access to your EaSync account, and what they can (and can’t yet) do. Compiled and fact-checked against EaSync support conversations from 2021–2024; supersedes the outdated 2019 “Virtual Assistants” article.

What a VA is and why you’d use one

A Virtual Assistant (VA) is a helper you give access to your EaSync account so they can handle routine tasks: creating listings, adjusting repricing, and other store settings.

EaSync doesn’t source or hire a VA for you — you find and invite your own VA (for example, through a freelance marketplace).

The older version of this article said a VA could message buyers directly through the Messages section. In practice that’s not the case: according to support conversations, that feature hasn’t been implemented yet — the EaSync team has confirmed this and plans to add it in the future. If you need a VA to handle buyer communication today, that’s only possible indirectly, through you.

How to add a VA

Steps 1–2: Invite the VA

  1. Open the Settings dropdown at the top of your account and go to the Virtual Assistants section. Current direct URL: my.easync.io/account/preferences/virtual_assistants (some interfaces still use the older path my.easync.io/preferences/virtual_assistants).

  2. Enter the VA’s email address and click “Save.”

EaSync will automatically send a registration invite to that email; the VA can change the password themselves after logging in for the first time.

Step 3: The VA completes registration

  1. The VA receives the invite email and follows the link in it to finish registering and set a password.

  2. After that, the VA logs in with their own email and password — just like a regular user.

Invite email never arrived? Have the VA check their Spam folder first — that’s the most common reason invites seem to “disappear.” If it’s still not there after a few minutes, try the fix in “If the VA can’t get access” below.

What access a VA gets

Per the current answer from EaSync support, a VA now gets full access to the store account except the Billing section and the profile/payment page — meaning a VA cannot see the seller’s card details or billing information.

  • Can: create and edit listings, adjust repricing and other store settings, work with orders.

  • Can’t yet: message buyers directly through Messages — not implemented yet.

  • Can’t see: the Billing section or the profile page with payment details.

If a VA is unsure whether they accidentally changed a store setting, check the store settings section yourself (or have the VA check it) — it shows the current value of every setting, including repricing.

How to remove a VA’s access

To revoke access, open the same Settings → Virtual Assistants section and remove the VA from the list. They will no longer be able to log in after that.

If the VA can’t get access

This is the most common reason people contact support about VAs. Here’s what to check, step by step.

Step 1: Check the Spam folder

The invite email sometimes lands in spam — check this first, before trying anything else.

Step 2: Confirm the VA actually finished registering

The VA needs to follow the link in the invite email and complete registration (set a password) before login will work. If a VA tries to log in without finishing registration, it won’t work.

Step 3: Remove the VA and add them again

  1. In the Virtual Assistants section, remove the VA from the list.

  2. Add their email again and click “Save” — this resends the invite.

In practice, this is the most reliable way to “resend” an invite if the email didn’t arrive the first time.

Step 4: Contact EaSync support

If none of the steps above helped, message EaSync support and include the VA’s email — the team will check it on their end.

Quick summary

  • To add a VA: Settings → Virtual Assistants → enter email → Save. The VA then finishes registration via the link in the invite email.

  • A VA gets access to the whole account except Billing and the profile page.

  • A VA can’t message buyers directly yet — that’s still in development.

  • Invite email missing — check Spam first, then remove and re-add the VA.
