This guide covers what to do when a new order comes into EaSync, and how to get it to "shipped" status — via Auto Ordering, manually, or through the EaSync team.
Before you start
EaSync gives you three ways to ship an order. You choose a method for the whole store in the Fulfillment Methods section.
Auto Ordering (AO) — EaSync buys the item from the supplier (e.g. Amazon) using your connected AO account, and pulls in the tracking number automatically. The fastest method, and the default recommendation.
Manual Fulfillment — you buy and ship the item to the buyer yourself, then add the order details to EaSync by hand. Otherwise EaSync has no way to know the order shipped.
Fulfillment by Easync (FBE) — the EaSync team buys and ships the item for you, through their own dedicated supplier accounts.
Method 1: Auto Ordering — automatic shipping
This is the main flow, and it works for most orders without any manual steps on the supplier side. The steps below assume the order is already ready to ship (Auto Ordering is enabled and the AO account is healthy).
Go to the Orders section in the left-hand menu.
Open the order you want to ship.
In the Actions block, click Make Order.
Wait for the order to ship — this can take a little time.
If the order shows an Error status with “AO mode disabled” instead of the Make Order button, that’s a separate situation — see “Error: AO mode disabled” below. Enable Auto Ordering and check your AO account first, then come back and place the order.
Track progress
After you click Make Order, an Orders History block appears on the order page with the processing history. The status moves through, in order:
Ready — the order was received from eBay/the marketplace and queued for supplier placement.
Start — the order was sent to AO for processing.
Done — the item was purchased and placed with the supplier; the supplier’s order ID was received.
Waiting Tracker — a tracking link has been requested from the supplier (e.g. Amazon).
Tracker Obtained — the tracking number was received; the order has shipped.
If everything’s fine on the supplier’s side, later status updates happen automatically — allow up to 6 hours for an update.
Method 2: Manual Fulfillment — shipping by hand
Use this if you shipped the order yourself — for example, you manually bought the item on Amazon and shipped it to the buyer’s address (including cases where the purchase was made through a different store). EaSync has no way to detect this automatically, so the details need to be added by hand.
Important: until you add the order and tracking manually, EaSync will show no movement on the order — even though it has already been shipped to the buyer.
Step 1: Add the order details
Open the order in the Orders section.
Click Add order.
Enter the Order ID — the order number from the supplier’s marketplace (e.g. Amazon) the item was bought under.
Choose the Fulfillment Account — the account you actually used to place that order with the supplier. EaSync needs this to pull status and tracking for the order.
Click Save.
Step 2: Add the tracking number
Once the order is added, an Orders History block appears on the page — add the tracking link there.
In the Orders History block, click Add tracking number / Add Tracking.
Paste the tracking number or tracking link for the shipment.
If everything’s fine with the supplier, the status will keep updating automatically from here — allow up to 6 hours for an update.
Method 3: Fulfillment by Easync (FBE)
Use this if you’d rather not handle purchasing and shipping yourself: the EaSync team takes the order on and ships it through their own dedicated supplier accounts — no AO account or manual tracking entry needed from you.
FBE is especially useful if you want to avoid sales tax costs, have a high return rate, have a suspended Amazon account, don’t have time to manage sourcing yourself, or are based outside the US without a US Amazon account.
Amazon US, Amazon UK and Amazon DE are fully supported right now; Amazon CA support is coming.
How to enable it
Go to the Fulfillment Methods section.
Select the Fulfillment by Easync card.
Click Enable Method to apply it to the store.
Once enabled, new orders for the store are bought and shipped by EaSync — the order page still shows the same Orders History block with the same statuses as Auto Ordering, except the purchase is made from EaSync’s account, not yours.
FBE balance
FBE purchases don’t draw from your AO account — they draw from a separate FBE balance that needs to be topped up in advance. The FBE balance can only be spent on FBE orders. Before shipping, make sure your balance is greater than the price the buyer paid on eBay (not the supplier’s price), or the order will fail.
You can top up your FBE balance on the Fulfillment Accounts page, a few ways:
Payoneer (recommended) — 0% commission + Payoneer’s own fee.
PayPal — 1% commission + PayPal’s fee.
Card — 1% commission + payment processor’s fee.
Cancellations and returns
If a buyer requests a cancellation quickly enough, EaSync detects it and cancels the order automatically. Otherwise, you can cancel it manually using the cancel button on the order page. EaSync also handles and automates the return process for FBE orders.
Error: “AO mode disabled”
This error shows up when you try to ship an order through Auto Ordering, but Auto Ordering itself hasn’t been enabled for the store yet. Instead of the Make Order button, the order page shows an Error status with “AO mode disabled” — and you can’t ship through AO in this state.
Quick fix: the error block itself includes a link straight to the Automatic Ordering settings, so you don’t need to hunt for the section.
Step 1: Enable Auto Ordering
Go to Store Settings → Automatic Ordering (or use the link in the error block).
Check the Enable box.
Optionally configure other settings — e.g. “Mark shipped after AO is completed”, so the order is automatically marked shipped once AO finishes.
Click Save.
Step 2: Check your AO account
Auto Ordering runs through a connected supplier account (e.g. Amazon) that EaSync uses to buy the item. Make sure that account is added and in good standing.
Go to Fulfillment Methods → Fulfillment Accounts.
Check that the right account (e.g. amazon) is attached to your store, the Enabled toggle is on, and its status is Checked.
Step 3: Place the order
Go back to the order page. If AO is enabled and the account has no issues, the “AO mode disabled” error is replaced by a warning that AO is enabled and the order is ready to ship — with a Make Order button right in that block. Click Make Order and wait for it to ship — from here the order follows the same path as in Method 1 (the Orders History block, with statuses Ready → Start → Done → Waiting Tracker → Tracker Obtained).
Error: tracking is disabled
If the Tracking module is turned off for the store (Store Settings → Tracking), EaSync shows a separate error saying tracking is disabled — the order won’t be able to get a delivery status, even if a tracking number has been added. Turn Tracking back on in the store settings and repeat the step of adding the tracking number.
Quick summary: which one to use
You have a connected, working AO account for the supplier (e.g. Amazon), and you haven’t bought the item manually — use Method 1 (Auto Ordering).
You’ve already bought and shipped the item to the buyer yourself — use Method 2 (Manual Fulfillment: add the order and tracking by hand).
You don’t want to handle purchasing and shipping yourself — use Method 3 (Fulfillment by Easync): EaSync’s team takes care of it.
The order shows an “AO mode disabled” error — that’s not a separate shipping method, it’s a common snag with Method 1. See “Error: AO mode disabled” above for the fix.
