How to Fulfil an Order via Easync

This guide covers what to do when a new order comes into Easync, and how to get it to "shipped" status — via Auto Ordering, Manually, or through the Easync team.

Before you start

Easync gives you three ways to ship an order. You choose a method for the whole store in the Fulfilment Methods section.

  • Auto Ordering (AO) — Easync buys the item from the supplier (e.g. Amazon, AliExpress) using your connected AO account, and pulls in the tracking number automatically. The fastest method, and the default recommendation.

  • Manual Fulfilment — you buy and ship the item to the buyer yourself, then add the order details to Easync manually. Otherwise Easync has no way to know the order shipped.

  • Fulfilment by Easync (FBE) — the Easync fulfilment team buys and ships the item for you, through their own dedicated supplier accounts.

Quick summary: which Fulfilment method to use

  • You have a connected, working AO account for the supplier (e.g. Amazon, AliExpress), and you haven’t bought the item manually — use Auto Ordering.

  • You’ve already bought and shipped the item to the buyer yourself — use Manual Fulfilment: add the order and tracking manually.

  • You don’t want to handle purchasing and shipping yourself — use Fulfilment by Easync: Easync’s team takes care of it.

Method 1: Auto Ordering — automatic shipping

This is the main flow, and it works for most orders without any manual steps on the supplier side. The steps below assume the order is already ready to ship (Auto Ordering is enabled and the AO account is healthy).

1. Go to the Orders section in the left-hand menu. (add image where to go)

2. Open the order you want to ship.

3. In the Actions block, click Make Order.

4. Wait for the order to ship — this can take a little time (how much time?).

If the order shows an Error status with “AO mode disabled” instead of the Make Order button, that’s a separate situation — see “Error: AO mode disabled” below. (who it right here) Enable Auto Ordering and check your AO account first, then come back and place the order.

Track progress

After you click Make Order, an Orders History block appears on the order page with the processing history. The status moves through, in order:

  • Ready — the order was received from eBay/the marketplace and queued for supplier placement.

  • Start — the order was sent to AO for processing.

  • Done — the item was purchased and placed with the supplier; the supplier’s order ID was received.

  • Waiting Tracker — a tracking link has been requested from the supplier (e.g. Amazon).

  • Tracker Obtained — the tracking number was received; the order has shipped.

  • Delivered — ???

If everything’s fine on the supplier’s side, status updates automatically up to 6 hours.

Method 2: Manual Fulfilment — shipping manually

Use this if you shipped the order yourself — for example, you manually bought the item on Amazon and shipped it to the buyer’s address (including cases where the purchase was made through a different store). Easync has no way to detect this automatically, so the details need to be added by hand.

Important: until you add the order and tracking manually, Easync will show no movement on the order — even though it has already been shipped to the buyer.

Step 1: Add the order details

  1. Open the order in the Orders section.

  2. Click Add order.

  3. Enter the Order ID — the order number from the supplier’s marketplace (e.g. Amazon) the item was bought under.

  4. Choose the Fulfilment Account — the account you actually used to place that order with the supplier. EaSync needs this to pull status and tracking for the order.

  5. Click Save.

Step 2: Add the tracking number

Once the order is added, an Orders History block appears on the page — add the tracking link there.

  1. In the Orders History block, click Add tracking number / Add Tracking.

  2. Paste the tracking number or tracking link for the shipment.

If everything’s fine with the supplier, the status will keep updating automatically from here — allow up to 6 hours for an update.

Method 3: Fulfilment by Easync (FBE)

Use this if you’d rather not handle purchasing and shipping yourself: the EaSync team takes the order on and ships it through their own dedicated supplier accounts — no AO account or manual tracking entry needed from you.

FBE is especially useful if you want to avoid sales tax costs, have a high return rate, have a suspended Amazon account, don’t have time to manage sourcing yourself, or are based outside the US without a US Amazon account.

How to enable it:

  1. Go to the Fulfillment Methods section.

  2. Select the Fulfillment by Easync card.

  3. Click Enable Method to apply it to the store.

Once enabled, new orders for the store are bought and shipped by EaSync — the order page still shows the same Orders History block with the same statuses as Auto Ordering, except the purchase is made from EaSync’s account, not yours.
